Overview

Medix, a healthcare staffing firm specializing in Registered Nurses (RNs) and Travel Nurses, worked with us to install a complete Outbound GTM System targeting hospitals actively hiring clinical staff. In just 6 months, we built, automated, and launched a scalable outbound infrastructure that continuously sourced verified hospital decision-makers and filled Medix’s pipeline with qualified meeting opportunities.

The Problem:

Before working with Medix, they relied heavily on inbound referrals and job boards for new hospital contracts, resulting in unpredictable deal flow and missed opportunities.
Their main challenges included:

  •  No outbound motion to proactively source new hospital clients
  •  Reliance on outdated data and manual prospecting
  •  Deliverability issues from existing domains
  •  Lack of automation for scheduling and follow-up

The Solution:

I implemented an outbound GTM engine built for scale, personalization, and automation.

Step 1 — ICP Definition & Data Enrichment
We defined 3 ICP tiers:

  1. Regional Hospitals (100–500 beds)
  2. Healthcare Systems & Travel Nurse Programs
  3. Long-Term Care & Specialty Clinics

Using Clay, ZoomInfo, and Apollo, we enriched verified contacts (HR Directors, Nurse Managers, and Staffing Coordinators) with accurate titles, email addresses, and current hiring data.

Step 2 — Infrastructure Setup
We launched 10 dedicated sending domains and 30 inboxes, each fully warmed and rotated through Instantly for maximum deliverability.
Every reply and meeting request automatically routed to Medix’s Gmail calendar via Zapier automation, streamlining scheduling for their recruiting team.

Step 3 — Hyper-Personalized Outreach
We created multi-variable email sequences using dynamic data (location, bed count, hiring trends, open RN listings) to make every message feel uniquely written by hand, powered by Clay’s enrichment logic.

Step 4 — Sequencing & Nurture
4-step sequence over 14 days focused on solving nurse shortages, compliance coverage, and fast placement turnaround.
Once a hospital responded, the conversation was handed off directly to Medix’s recruiting team for immediate follow-up.

Step 5 — Optimization & Reporting
We ran weekly performance reviews, testing subject lines, message angles, and persona segmentation to continuously improve open and reply rates.
